Payment Terms

How Vribe collects, holds, remits and refunds money.

This document governs the money: what you are charged, in what capacity Vribe receives it, what can be charged after a trip, and how the host gets paid. It forms part of the Terms of Service and binds you the same way. The fine detail of deposits, fees and disputes lives in its own documents, and this one points to them instead of repeating it: the same fact told in two places drifts apart on its own.

Definitions

Booking:
The agreement between a traveler and a host for the use of a vehicle on specific dates, created on the platform and governed by the contract both sign.
Rental:
The amount corresponding to use of the vehicle for the booked period, excluding deposit and delivery fee.
Security deposit:
Refundable amount that answers for damage, missing items, fuel, fines and other charges under the contract.
Payout:
The payment Vribe transfers to the host for a booking, with the commission already deducted.

1. When these terms start to bind you

These Payment Terms apply to you from the moment you use any Vribe payment service: when you book, when you receive a payout as a host, or when you pay an amount determined in a resolution process. There is nothing separate to accept — they form part of the Terms of Service, which incorporate them by reference. If anything in this document and the Terms of Service appear to conflict, this one prevails on payment matters.

2. The capacity in which Vribe collects

Vribe does not sell the rental: it collects for it. When you pay for a booking, Vribe receives that money as the host's collection agent, for the sole purpose of collecting it, holding it and paying it out under this document.

2.1 Paying Vribe discharges your obligation

Here is the consequence worth knowing: paying Vribe discharges your obligation to the host for the amount paid, even if Vribe has not yet paid it out. If Vribe receives your money and fails to hand it over, that is a problem between Vribe and the host, not yours. It works the same way in the other direction: a host cannot charge you off-platform for what you already paid here.

2.2 The limits of this mandate

The mandate is strictly one of collection and payment, and it does not turn Vribe into anything else. Vribe is not a party to the rental contract, which is made between the host and the traveler; it does not represent the host in handing over the vehicle, in answering for its condition, or in assuming any of the host's obligations; and it is not a bank, an insurer or an insurance intermediary. Hosts remain independent operators.

3. Your payment method

To book, you need a valid payment method on file. You authorise Vribe and its payment processor to collect, verify and store its information in line with the Privacy Policy. Vribe does not store your full card number: the processor holds it, and Vribe keeps a technical reference, the brand and the last four digits. Keeping it valid and current is your responsibility. When your bank replaces or renews your card, the processor may receive the new details from the payment networks so your authorised charges are not interrupted; if you would rather that did not happen, you can remove your payment method. If a charge fails because the method is no longer valid, the debt does not go away.

4. What you are charged when you book

The price you see when booking is the final price: the rental for the period, the delivery fee if you chose that service, and the security deposit if the vehicle asks for one. It all goes out as a single charge, not as separate collections. On vehicles rented without holding a deposit, the rental price already includes the No-Hold fee. When each piece is charged, when it is held, how it is released, the currency and the conversion are all in the Deposits and Payments Policy; the commissions are in the Fees Policy.

5. Amounts that arise after the trip

Beyond the booking price, amounts that can only be known once the trip starts or ends may fall to you. These, and no others:

  • The difference for an extension or a date change you request.
  • Missing fuel measured against the level the vehicle was handed over with.
  • Traffic fines, tolls and administrative penalties incurred during your trip, plus the documented cost of processing them. On a trip with chauffeur, fines arising from the driving belong to the chauffeur or the host, not to you.
  • Charges that your trip contract places on you for improper use of the vehicle.
  • The cost of damage to the vehicle determined in the dispute resolution process.
  • Amounts you agree to pay within that process.

5.1 The collection authorisation

You authorise Vribe, in its capacity as the host's collection agent, to charge these amounts to your payment method on file once they are determined and the time you have to pay them has passed, without a fresh authorisation for each one. Before any charge you are notified of the amount and the reason, and given the time to pay it or dispute it. None of these amounts is set by Vribe: each is evidenced by the document that determines it — the fine notice, the repair shop estimate, the fuel reading from the inspections.

6. The guarantee in No-Deposit mode

On No-Deposit vehicles nothing is held on your card. In exchange, your payment method is stored with the processor from the moment you confirm the booking: that stored card is the guarantee that replaces the deposit. Storing it is not optional within this mode; if you would rather your card was not stored, the alternative is to book a vehicle with a security deposit.

6.1 When damage can be charged

A damage charge can only run when all of these conditions hold at once: the damage is verified by comparing the handover inspection with the return inspection; your host claimed it within 72 hours of the return; its cost was determined by an independent repair shop estimate; that cost exceeds the threshold your host absorbs, the one in force when your booking was created; and the dispute process resolved an amount against you. If a single one is missing, there is no charge.

6.2 The process and the deadline

Once a dispute resolves with an amount against you, you have 24 hours to pay it in the app or to agree a payment plan with the team. If the deadline passes with neither payment nor plan, Vribe may run the authorised charge for the lesser of the amount determined and the cap disclosed to you when booking. It is a single attempt: if the charge fails, it is not retried against your card. The charge appears on your statement identified as Vribe with the reference DANOS, and generates a receipt.

6.3 The cap and the threshold

When you book you are shown the maximum that can be charged to your card for damage on that booking. That cap and the threshold your host absorbs are frozen into your booking: if Vribe changes them later, your booking keeps the ones you accepted.

6.4 The window runs both ways

Your host has 72 hours from the return to claim damage; after that, the host absorbs it. The exact counterpart is yours: your card is only held as a guarantee for those same 72 hours, and not a minute longer. Theft of the vehicle is different: it is not time-barred by this window and follows its own route.

7. Storing and removing your payment method

The card you stored stays available for your next payments so you can book faster. It is only used in payments you initiate: having it stored does not widen the collection authorisation, which is per booking and capped for each one. You can remove it from your account whenever you want, except at three moments the app explains when you try: while you have a No-Deposit booking under way, because the card is its guarantee; during the 72 hours after the return of a No-Deposit trip; and while a collection case is open. Removing it does not undo charges already run, nor does it extinguish outstanding debts.

8. If an amount goes unpaid

The debt stands, whether the charge failed, you removed your payment method, or for any other reason. Vribe may suspend your access to new bookings while it is outstanding, set it off against amounts Vribe owes you, and pursue it through ordinary collection channels, including assigning it to a third party. The reasonable and documented costs of that pursuit fall to whoever owes.

9. Chargebacks

If you believe a charge is wrong, write to us first: it is almost always faster than going through your bank. If you open a chargeback, Vribe may present your bank with the complete file: your booking, the handover and return inspections, the estimate that determined the amount, the dispute resolution, and the record of the authorisation you accepted. While a chargeback is open, Vribe may hold the payouts tied to that booking and suspend your access to new bookings. Opening a chargeback on a legitimate charge, rather than using the platform's process, is grounds for terminating your account.

10. Payouts to the host

Vribe pays the host what each trip earns them, less its commission and the disclosed bank fees, through the payment method the host has registered and validated. A payout becomes payable when the trip's claim window closes and no dispute is open; open disputes hold the amount in question until they resolve. Keeping payment details correct is the host's responsibility: if a transfer bounces because of wrong details, the amount returns to their balance and the bank fee for that transfer is not refunded. 11. Refunds

Refunds go back to the same payment method you paid with, unless that is impossible. How long they take to appear depends on your bank, not on Vribe. How much you get back is determined by the vehicle's cancellation policy, and the mechanics are in the Deposits and Payments Policy.

12. What you cannot do with payments

You cannot use Vribe's payment services to move money unrelated to renting a vehicle, nor agree with your counterparty to pay outside the platform in order to avoid commissions, protections or records. Payments made outside the platform fall outside the dispute process and outside every protection, and are grounds for terminating the account.

13. Changes to this document

Vribe may amend these Payment Terms. If a change substantially increases your obligations or reduces your rights, you are notified at least 30 days in advance and it takes effect on the date that notice announces; until then the terms in force continue to apply to you. You can reject it by ceasing to use the payment services and closing your account before that date; if you keep using them afterwards, the change applies to you. Changes that do not disadvantage you — corrections, clarifications, new services you can simply not use — apply from publication. Bookings created before a change keep the financial terms you accepted when you created them.

14. Suspension of payment services

Vribe may suspend or limit your payment services where the law requires it, where there is well-founded suspicion of fraud or misuse, where your payment information stops being valid or verifiable, or where you have overdue amounts. You are told, unless telling you would compromise an investigation or break the law.

What this document is not

It is not a promise about the outcome of a collection: an authorisation existing does not mean a charge will go through. It is not a power for Vribe to set amounts — the document that evidences them sets them, not the platform. It is not insurance and does not replace the vehicle's policy. It does not set prices: each host decides the rate and deposit for their vehicle. And it does not make Vribe a party to the rental, which remains a contract between host and traveler.
